IC - Inventory Control Module

IC is a module of The StoreMaster System, providing enhanced
file maintenance of the Inventory Data Base, including
Inventory Data, Alternate Lookups, Serial Numbers, Special
Pricing, Promotional Messages, Markups, Kits, and
Promotional Pricing, plus Physical Inventory, Suggested
Reorders, and User-defined Edit and Browse Screens.

The following describes the functionality of the IC Module.


Requirements

Use of the IC Module requires the System Manager module.

File Maintenance
===========================================================
The File Maintenance function provides access to add,
delete, and change files associated with Inventory Control
in The StoreMaster System.

One of the more powerful features of IC is the ability of
you, the user, to define your own customized EDIT and BROWSE
data screens. An EDIT screen is one in which all data
presented is for a single inventory item; a BROWSE screen is
one in which a tabular listing is shown, with data for each
item on a single line. Using these, you can arrange for
editing or data inspection in a variety of ways, to suit
your own uses.

Inventory Data File
  • Put in order and find items by
    • Item Code (SKU)
    • Barcode
    • Description
    • Class + Item
    • Class + Supplier + Item
    • Supplier
    • Supplier Part Number
    • Stock Location
  • Full Screen or Browse Screen
  • Standard and User-defined screens
  • Items can be added to or deleted from inventory; editing features for inventory are extremely flexible, providing for user-defined lists of fields to be edited as well as filtering for specific groups of items
  • Price changes can be calculated automatically with pre- programmed markup and full retail rounding
  • Barcode information can be used for item selection, and barcodes can be edited individually
  • Multiple (3 or more) levels of price breaks
  • Special Pricing by Individual Customers
  • Case and Unit Pricing
Alternate Item Lookup Data File
  • Add unlimited number of alternate lookup codes for any item; this lets you add any additional barcodes and/or SKU numbers to use for lookup and selling
  • Example: suppose you have a number of items that you want to group together enter a single item in inventory for miscellaneous items that happen to be barcoded - for example, soft drinks; enter the Inventory item SOFT DRINK, then scan all the barcodes into the Alternate Item file; then when you sell any can, the item comes up as SOFT DRINK.
Inventory Adjustment Data File
  • Change onhand quantity of any item
  • Maintains audit trail
  • Use for small-unit Physcial Inventory corrections
Kit Inventory Data File
  • Kit items are defined by listing items and quantities of each item that make up the kit
  • Kits can be sold at register by entering or scanning the kit number
  • Regular kits are "built" or "disassembled" and the items making up the kit are automatically removed from or returned to inventory
  • Regular kits have a separate price linked to the kit item itself
  • Exploding kits simply enter all of the listed items onto the sales ticket when selected at the register
Price Markup Definition FIle
  • Up to 99 Markup Groups provide for list prices to be calculated and updated
  • Changing markup in a Group allow you to quickly change prices
  • Each markup can be as simple as a straight percentage or as complex as percentage with retail rounding (make it end in, say, .79), and add $ after rounding
  • Review effects of markup calculations, with or without changing prices
  • Auto-recalculate all prices
Promotional Messages Data File
  • "You want some fries with that?"
  • Any item can be flagged to have a "promotional message"
  • Add, delete, or edit message text
  • When item is sold, the message is displayed with instructions for the cashier to read it to the customer
Serialized Inventory Data File
  • Maintains a list of serial numbers and customers who purchased each one
  • For items flagged as being serialized, a separate data file maintains serial numbers
  • File maintenance functions include adding, deleting and editing serial numbers
  • Lists can be printed or displayed of: all items requiring serial numbers; all serial numbers on file; serialized items sold, with customer, date, and price, plus number of days since sale; serial numbers sold to particular customer
Special Customer Prices
  • Any customer can have special prices for any item
  • When that customer buys an item, his special price is calculated automatically in the sales ticket
Promotional Pricing Data File
  • We're having a SALE!!!
  • Promotional prices allows you to input price and cost specials, along with the date and time of both beginning and ending; the data is automatically fed into the inventory file at the times the special price and cost change
  • An add-on source code program is available which allows data file to be received from distributors with special pricing and costing information to be auto- matically included in the special price data file
Physical Inventory =========================================================== This set of functions provides you with the capability to take Physical Inventory either on count sheets by hand, or with a HAND HELD TERMINAL (with or without a barcode scanner), enter counts - or download them from the HHT, print exception reports, over-short reports with calculated costs, and update inventory onhand figures to reflect actual counts.
  • Start New Count Re-set all counts to zero for new entries
  • Print Blank Count Sheets Print from 1 to 5 sets of counting sheets, in desired order (typically by shelf location), for any starting/ending page)
  • Manual Entry of Counts Enter counts for any set, any page
  • Scanned Entry of Counts Read data directly from HAND HELD TERMINAL, or from any ASCII data file imported from other portable scanner equipment
  • Review/Edit Counts Look at all 5 sets simultaneously, with edit capability
  • Print Current Counts Similar to review/edit, but prints report showing actual counts
  • Print Not-counted Items Prints list of items that have no counts entered
  • Print Exceptions Report Prints report showing shrinkage/growth between computer's onhand and entered counts
  • Update Inventory from Counts Replace onhand in inventory with count values, adjusted for difference in onhand between date counted and intervening sales
Reports ===========================================================
  • Sales Reports Items sold, in various groupings, are listed in the SALES REPORTS (SR) MODULE
  • Suggested Reorders by item or supplier based on current onhand and lead time projected onhand by delivery date minimum stocking standard order quantity
  • Inventory Lists by Class by Supplier Inventory Value at Cost Inventory Value at Retail Low Stock
  • User-Defined Reports You can define your own reports and lists with the built-in Report Writer
Utilities ===========================================================
  • Edit Full Screen edit existing user-defined screens, or add new ones of your own; this allows you to define the entire screen layout, including any text, explanations, editable fields and display-only fields
  • Edit Browse Screen edit existing user-defined browse screens, or add new ones of your own; this allows you to define single-line displays showing up to 16 items per screen, determining what fields to display in which columns, and which columns' contents can be edited
  • Purge Inventory when items are deleted, they are not actually removed from data files, but are marked for deletion; this function removes deleted items from Inventory Data File permanently
  • Copy to ASCII File allows you to copy any data fields for selected items to an ASCII data file for input to other software
  • Set Access user is selected, and each function in this module can be set to allow or deny access; for example, you may wish to allow a particular person to print reports, but not to be able to access any other function
